Paperless Contact Management for Businesses

by: carleneschnitzer on Date: Mon, 31 Jan 2011 Time: 8:06 AM

In the old days, keeping track of business contacts meant putting contact information on paper, then filing the paperwork away in those bulky metal filing cabinets. A business owner or employee needing information on the company’s contacts would have to wade through a large amount of files, just to gain access to the right information. Needless to say, the process took up a lot of time and effort, and caused a lot of delays in the company’s workflow and productivity.

Fortunately for business owners, those days are gone. Technology has made running a business easier and faster, especially when it comes to organizing contact information. Business owners and employees these days can use various computer programs to collate all contact information into one or more databases. Local networking systems allow employees to easily gain access to the databases, significantly reducing the time and effort needed to pull up contact information.

In addition to basic computer programs, business owners can now rely on specialized software, too. This business software allows business owners not only to create databases of contact information, but also organize contact-related tasks such as meetings and appointments. The software is especially helpful for e-commerce sites that regularly deal with a wide product supplier base and an even more extensive customer base.

Many specialized computer programs nowadays are designed to provide small business CRM solutions. One such program is ACT! contact relationship management, or crm, software. The software gives small-scale business owners a way of keeping track of contact information without having to resort to filing paperwork. The program’s compatibility with third-party applications also makes it easier for business owners to import existing databases into the software.

ACT contact management software also allows business owners to easily update contact databases. This way, the information in the databases remains in sync with real-time company activities. This lessens and eliminates any workflow problems or delays that might stem from missing or outdated contact information.

By using ACT CRM software, even employees can pull up contact information in a matter of seconds. The software also allows employees to input contact-related communications into the database. This can help employees generate more substantial business reports, as well as document business activities more accurately.
