Developing Great Telephone Customer Service

The telephone is one of the most important tools in your business. Properly handling incoming calls can make or break your business. These tips may sound elementary, but how many times have you called a business, and the person answering the phone wasn't prepared, had no understanding of the business, wasn't listening or just plain didn't care?
Handle every call as if you're making a first impression. Identify your company, be enthusiastic (it's contagious), be helpful and most importantly, listen.
- Customers are the reason you are in business. They are NOT nuisances – they are your company's livelihood.
- Answer the phone with a live person if at all possible! How much business are you losing because a caller won't leave a message or navigate through extension numbers? The cost of having someone else do it may be more than offset by the increase in your productivity and better sales.
- Listen carefully. Be very polite, friendly and helpful.
- Pronounce words clearly avoid voice drop at end of sentences and be confident of what you say, no "ers" & "umms". Have the tools of trade near you (paper, pen, extension list, FAQ's, product list, etc.)
- If you don't know, don't guess. Offer to find out and call back
- If you have to transfer the call pass the details of the caller to that person before passing the caller through. Don't make the caller repeat why he/she call every time when the call is passed.
- If the person the caller is asking for is not available, ask if you may be of service or would like to leave a message. Another great option is to offer their e-mail address.
